Press Exposure
There are several ways to reach the media as an AHR Expo exhibitor to maximize your press exposure leading up to and at the show. The AHR Expo’s free PR opportunities provide you with the tools needed to promote your company, products, technology and news to the trade press for added exposure at no additional cost.
Exhibiting manufacturers, contractors and suppliers are encouraged to participate.

Request a pre-registered media list
As an exhibitor (or representative of an exhibitor), you may request a list of the media contacts who have pre-registered to attend the show. Once you submit your request, you will receive a confirmation and will be added to our list to receive a weekly update. Distribution of the list will begin sometime around October.
Note: terms and conditions apply. The media registration contacts will be available electronically via email only and may be converted to labels for a one-time use. Members of the media may not be spammed. This list is to be used in relation to the 2025 AHR Expo only and cannot be used for other purposes.
Provide company press kits for the AHR Expo onsite press office
Exhibitors are encouraged to provide company press kits for distribution in the press office. Press kits are a great way for companies to present content to members of the media for publication and exposure.
Press kits should include any or all of the following:
Press release outlining the company, products and technologies being exhibited at the show
Product releases that detail each product or product group being exhibited
Case studies on actual product applications
Press releases detailing awards, community outreach, mergers, acquisitions, moves and/or compelling news
High-resolution images to support releases or case studies
High-resolution company logo and marketing graphics
Across most of our attending media, the trend is to provide digital formats for press materials. Digital press kits (typically company-branded, interestingly designed flash drives) or kits built within a QR code are far more convenient, user-friendly and more likely to be picked up by the media. Printed materials are less likely to be packed up and transported back to the office by visiting press.
Do not ship your press kits to the press office at the show. Items shipped directly to the press office may get lost or misplaced. To avoid any such issues, press kit materials should be hand delivered to the press office prior to the start of the show (Saturday or Sunday).
It is recommended to have 50-100 on hand for distribution. Typically between 150-250 media staff attend the show. We also recommend bringing printed signage (such as a foam easel, no larger than 8.5”×11”) with your company name, logo and booth number.
All written materials should be saved and placed on the flash drives as Word documents and images should be high-resolution (at least 300 dpi) and saved in a printable format.

The press office will be open for business per the schedule below. You may drop off your press kits anytime the press office is open. Press office location W224E.
Saturday, February 8 / 12pm – 5pm
Sunday, February 9 / 9am – 5pm
Monday, February 10 / 7am – 6pm
Tuesday, February 11 / 7am – 6pm
Wednesday, February 12 / 7am – 4pm
Hold a press conference
You may hold a press event in your booth or you may sign up for a one-hour time slot in the show’s press conference room during the show. The press conference room is located inside the press office. Space is limited and can be reserved by completing the form below.
Press conferences may be held by exhibiting manufacturers, suppliers and other non-media exhibitors.
NOTE: If your news is significant to a unique segment of the HVACR industry, it may be more effective to schedule individual meetings with select editors, as they organize their time very tightly and cannot attend all press conferences.
Available Times
On show days, members of the media may enter the show floor starting at 8am and must depart upon the closing of the show each day. Please plan your event within the following time frames:
Monday, February 10 / 8am – 6pm
Tuesday, February 11 / 8am – 6pm
Wednesday, February 12 / 8am – 4pm
Plan your event
Start early. The show is extremely busy for our trade media and the sooner your event is on their schedules, the more likely they are to attend. Also, refreshments/meals/beverages are strong incentives to media who sometimes don’t have the opportunity to sit down, much less grab a bite to eat or drink. However, it should be noted that Press receive breakfast, lunch and snack in the press office so you are encouraged to consider this when planning your orders.
Organize well in advance by prepping your team and allow plenty of time for practice and dry runs. Create a list of questions you anticipate the media will ask and prepare answers ahead of time. Stick to a 30-minute maximum for the event from start to finish and expect most members of the press to stay for only 15 minutes. Prepare a 5-10 minute formal presentation leaving room for questions at the end.
Submit your event to the PR team
We will list your press conference in the AHR Expo press events schedule, which is shared with press ahead of and at the show and is posted on the message board in the press office. You are responsible for inviting the press to your event. This is a great opportunity to meet the press face-to-face and build or maintain relationships with them. To facilitate this, we can provide you with a list of pre-registered press upon request.
Once the information for your event has been received and accepted, you will receive an email confirming your event and time.
AV & catering for your event
All AV and catering requirements are the responsibility of the exhibitor and must be ordered in advance. If you plan to use any audio/visual equipment (in addition to the podium, microphone, projector and screen) and/or provide refreshments for journalists at your press conference, you will need to reach out to the contacts for these services.

Submit a press release for the virtual newsroom
Exhibiting companies at the AHR Expo are permitted to submit press releases to be posted on the show’s website. Only documents that follow acceptable press release format will be posted, at the discretion of the AHR Expo communications staff. AHR Expo reserves the right to withhold releases from the site due to poor grammar, spelling or insufficient content. In this event, the AHR communications staff will offer guidance to exhibitors to improve formatting and content of their releases before posting them.
To submit a press release
Exhibitors who wish to submit a press release to the AHR Expo website should send releases (as PDF documents) to Nicole Bush at nbush@ahrexpo.com. We kindly ask that you limit your submission to three releases. If you have more than three releases for inclusion, please contact Nicole directly for assistance.
Promote your booth on social media
If you’re not already, make sure you’re following AHR Expo on your social media channels. You can find AHR Expo on Instagram, Facebook, Twitter and LinkedIn. When posting about your attendance, preparations, education program participation, Award or other show-related news, make sure to tag @AHRexpo and use our show hashtags #AHRexpo and #AHRexpo2025. We monitor our accounts closely and will share your information to our channels.
